Change Orders
Any changes to the original contract must be documented in a signed change order by both the customer and an East Coast Fireplace salesperson.

East Coast Fireplace will complete and submit our portion of the permit paperwork. However, it is the homeowner’s responsibility to pick up the permits from the township and pay all associated fees.
Framing and Spackling
The framing work includes taping and one (1) coat of spackle. Any additional coats and sanding are to be completed by the homeowner.
Electrical Work
Electrical work must be completed by a licensed electrician. This service is not included in the proposal provided by East Coast Fireplace.
Payments
An initial 50% deposit is required on all sales contracts. Final payments shall not exceed a balance due of $3,000. We accept payments via Visa, MasterCard, American Express, Discover, and personal checks. Customers are responsible for any bank fees related to returned checks. Any remaining balance, including returned check fees, must be paid via credit card, money order, or bank check. East Coast Fireplace is not liable for calculation errors due to human error.
Refunds, Returns, and Cancellations
Cancellations must be made within three (3) business days and may be subject to a restocking fee. For refunds, the customer is responsible for the cost of labor and/or materials already completed or used, including but not limited to field verifications, permit processing, and drawings. Custom mantles are non-refundable as they are built to order. Special orders, such as doors, marble, or stone, are also non-refundable.
Schedule and Completion Dates
The timeline for a fireplace installation may range from 1 to 8 weeks, depending on the specifics of the project. An estimated completion date will be provided at the time of contract, though this date is subject to change due to unforeseen circumstances. Any delays will be communicated to the customer immediately.
Permits
Customers are responsible for obtaining and paying for any necessary construction permits. East Coast Fireplace will assist with the permit process by providing necessary drawings and information. Permit lead times typically range from 2-3 weeks for approval. Customers must notify East Coast Fireplace when permits are approved. Work will not begin until all permits are properly submitted and approved.
Inspections
For installations requiring a construction permit, customers may withhold up to $200 from the balance until final inspection is passed. The customer must schedule the final inspection within seven (7) days of installation completion. The remaining balance is due immediately upon passing the inspection.
Liabilities for Other Contractors
East Coast Fireplace is not responsible for work performed by other contractors, supervising other contractors, or repairing damage caused by others in relation to our installation or products.
Back Charges
East Coast Fireplace reserves the right to inspect and address any damages claimed. Back charges will only be considered if our inspection confirms the validity of the claim.
Lost or Stolen Products
Customers must inspect all delivered products immediately upon receipt to ensure completeness and condition. East Coast Fireplace must be notified of any damaged or missing items within three (3) days. Claims made after this period will be considered lost or stolen, and replacements will be ordered at the customer’s expense.
Warranties
Fireplace appliances submitted for warranty repair must be accompanied by the original sales agreement. East Coast Fireplace guarantees labor for one (1) year following the contract date for installations performed by our team. This warranty covers defects due to faulty materials or workmanship but does not apply to misuse, alterations, or neglect. East Coast Fireplace does not warranty installations performed by outside contractors.
Natural Products
Materials like wood, marble, granite, stone, and slate are natural products and may have inherent characteristics such as veining, shading, fissures, pits, and knots. These are not considered defects but are part of the material’s natural beauty. Customers must request in writing if they wish to select their own pieces. Stone products are non-refundable.
Wood Burning and B-Vent Fireplaces
East Coast Fireplace is not responsible for environmental factors affecting the performance of wood burning or B-vent fireplaces. Negative air pressure may impact fireplace operation, particularly on the first floor. Outside air exchanger kits or opening windows may help mitigate this issue, though results may vary.
Special Orders
Custom doors have a lead time of 6-12 weeks, while other doors may take 2-5 weeks. All doors are non-refundable, and their lead times must be considered when estimating job completion dates.
Electrical Work
East Coast Fireplace is not responsible for any electrical work.
Complaints
All complaints must be submitted in writing within five (5) business days of installation completion to East Coast Fireplace, 313 Rt. 33, Manalapan, NJ 07726, or 732-792-0300
Standard Exclusions
Hidden or unforeseeable conditions that are not readily observable by an experienced contractor or subcontractor during the initial inspection are excluded. Any alterations, deviations, or hidden conditions that incur extra material or labor costs will require a written order and will result in additional charges.
